The intake workflow

1

Client Intake

Prospective clients complete a guided intake form or chat with the AI chatbot. Forms adapt based on matter type; the chatbot handles conversational intake and responds in the client's language (including Spanish).

Information arrives structured and normalized. Names, dates, and key details are captured in consistent formats your team can rely on.

2

AI Qualification & Scoring

Each intake is evaluated for completeness and readiness using AI. MatterReady assigns a qualification level based on the information provided:

  • Core — Basic contact and matter information is complete
  • Enhanced — Key details and supporting context have been provided
  • Comprehensive — Full documentation and detailed information is in place
3

Conflict Signals

MatterReady surfaces potential conflicts early in the intake process. Before your team invests time in review, you'll see flags for:

  • Party names that may match existing clients or matters
  • Related entities or individuals disclosed during intake
  • Opposing parties that require conflict review

These are signals for attorney review, not automated decisions.

4

Attorney-Ready Summaries

When an intake reaches sufficient qualification, MatterReady generates a structured summary for attorney review including client overview, key dates, conflict signals, and readiness assessment.

5

Pipeline & Automation

Track every lead through your intake pipeline with Kanban boards. A built-in scheduler handles consultation booking with multi-calendar sync, and drip sequences nurture leads automatically through the lifecycle.

  • Drip sequences — Seven pre-built email automations for lead lifecycle
  • Built-in scheduling — Multi-calendar sync replaces Calendly
  • Stall detection — Automatic email alerts when leads go cold
  • Consultation tracking — Calendar sync detects scheduled meetings
  • State automation — Leads progress automatically through stages
6

System Handoff

Once a matter is approved, MatterReady syncs the data to your practice management system. Client contacts, matter details, calendar events, and attorney assignments transfer automatically. Your practice management system remains your system of record.

Continuous: Origination Intelligence

While leads flow through the 6 steps above, MatterReady provides origination intelligence across the intake lifecycle — continuous visibility into how matters enter your firm and where they need attention:

First-contact velocity

Track how fast your team responds to new leads. See trends over time.

Capacity & distribution

See attorney workload and get assignment suggestions based on availability.

Pipeline risk detection

Identify leads at risk of falling through before they go cold.

Consultation tracking

Calendar integration auto-detects scheduled meetings and updates lead status.

Revenue risk signals

Operational signals that surface potential revenue leakage or billing inconsistencies in connected systems. MatterReady does not manage billing or invoicing.

AI assistants can access these operational signals via the Model Context Protocol (MCP) — priority scores, risk levels, and capacity metrics without ever seeing client PII. See Integrations for details.

What changes

MatterReady handles the qualification work between first contact and your practice management system. It does not replace your practice management system or manage open matters — it makes the data that arrives there more complete and reliable.

Before MatterReady

Information arrives via email, phone, or basic web forms. Staff chase missing details. Attorneys review incomplete files. Conflicts surface late. Data is re-entered manually.

With MatterReady

Guided intake collects complete information upfront. Qualification scoring shows what's ready. Conflict signals appear early. Clean data flows to your systems when the matter is approved.
